Create a User
Understand the shared fields used when creating a user account.
Shared fields for most accounts.
Main Decisions
| Field | Meaning | What it affects |

| Role | Account type. | Workspace, profile type, extra fields, and allowed workflows. |
| Name | Name staff will recognize. | Search, lists, profile headers, reports, and assignments. |
| Email or login | Main sign-in identifier. | Sign-in, password reset, verification, and lookup. |
| Password | First password or temporary password. | Whether the user can sign in now. |
| Contact phone | Optional follow-up number. | Communication and profile reference. |
| Avatar | Optional profile photo. | Recognition only; it does not affect access or workflow status. |

Roles
| Role | Use it for |

staff | Internal employees who use the internal workspace. |
student | Learners. |
agent | External people or organizations that bring students. |
consultant | People who manage student and agent relationships. |
teacher | Teaching staff. |
support | Support-only users. |
Choose the role first. It controls workspace, extra fields, and allowed workflows.
Login
- Use a real email when possible.
- Use generated student login only when the student has no usable email.
- Copy any generated temporary password immediately; it may not be shown again.
Profile And Documents
Fill only what is known and needed.

| Personal profile | Legal name, preferred name, birth date, gender, nationality, ID/passport details, address, emergency contact. |
| Documents | National ID, passport, visa, residence permit, profile photo, education certificate. |
Documents support review. They do not replace student, staff, or agent setup fields.
Check Before Leaving
- Correct role.
- Correct email or login.
- User appears in the right list.
- Expected workspace is available.
- Required profile or document details are present.
- Role-specific next step is clear.
Common Mistakes
| Mistake | Result |

| Wrong role | The user enters the wrong workspace or misses required fields. |
| Wrong email | Sign-in, verification, and password reset may fail. |
| Missing staff access | Staff can sign in but cannot do their work. |
| Missing student path | Student readiness and next steps become unclear. |
| Missing agent consultant | Agent approval and commission flow may be blocked. |
