Create a Staff User
Create an internal staff account with the right access groups.
Use staff for internal employees. The only special setup is access groups.
Access Groups
| Field | Meaning | What it affects |

| Access groups | Permission sets for staff work. | Internal pages, visible actions, and sensitive operations. |
Choose by responsibility, not seniority.
| Access group | Use it for |
|---|---|
| Reception Manager | Student intake, account help, and front-desk follow-up. |
| Academic Manager | Programs, courses, placement, enrollment, sessions, grading, and attendance. |
| Accountant | Finance accounts, fees, discounts, charges, payments, and reversals. |
| Admissions / Student Services | Student documents, offer letters, and international student cases. |
| Access Manager | Staff accounts and access assignment. |
Steps
- Choose role:
staff. - Enter name and email.
- Set or send password instructions.
- Add contact phone if useful.
- Select access groups for the staff member's real work.
- Create the account.
- Confirm the expected internal pages and actions appear.
Check Before Leaving
- User appears as staff.
- Internal workspace opens.
- Expected sidebar areas are visible.
- Unrelated areas are hidden.
- One important action in the assigned area works.
Common Mistakes

| Creating staff without access groups | The user may not see the pages they need. |
| Assigning too many groups | The user may see work outside their responsibility. |
| Using staff for support-only work | The user enters the internal workspace instead of the support workspace. |
