Student Finance Accounts

Use the finance workspace to review student balances, charges, payments, and history.

The student finance account is the daily workspace for one student's money record.

Find A Student

Open the finance workspace, then use:

ControlUse it for
SearchFind a student by name or account details.
Balance filterShow all, outstanding, overdue, or settled accounts.
OrderingSort by newest, oldest, or recently updated.

Select a student to open the account detail panel.

Account Summary

MetricMeaning
Total chargedAll active amounts charged to the student.
OutstandingWhat is still unpaid.
OverdueUnpaid amount past its due date.
Unpaid chargesNumber of charges still open.

Use the summary first. It tells staff whether the student needs collection follow-up.

OverviewCurrent status, open items, and recent activity.
ChargesRegistration and course charges with amount, due date, status, and outstanding balance.
PaymentsRecorded payments and their allocations.
HistoryFull activity trail for finance actions.

Charge Status

StatusMeaning
UnpaidNo payment has been allocated yet.
Partially paidSome money has been allocated, but balance remains.
PaidCharge is fully settled.
OverdueCharge has unpaid balance after its due date.
Fully discountedDiscount reduced the charge total to zero.
CancelledCharge was cancelled as a correction.

What Staff Usually Do Here

  1. Search for the student.
  2. Check outstanding and overdue amounts.
  3. Open charges to understand what is owed.
  4. Create a missing charge, if needed.
  5. Record a payment when money is received.
  6. Check the balance again.
