Create a Charge
Add a registration fee or course fee to a student finance account.
A charge is the amount one student owes. Create a charge when the student should be billed for registration or study.
Before You Start
- The student exists.
- The correct fee definition is active.
- For course fees, the student has an active enrollment.
- Any discount you want to use is active and matches the fee kind.
Charge Types
| Charge type | Use it when | Important rule |
|---|---|---|
| Registration fee | Student must pay a registration or application fee. | A student should not have duplicate active registration charges. |
| Course fee | Student is enrolled and must pay for a course or session. | Each active enrollment should have one active course-fee charge. |
Steps
- Open the finance workspace.
- Select the student account.
- Click Create charge.
- Choose registration fee or course fee.
- For course fee, choose the enrollment if more than one is available.
- Add a discount only when it is approved for this charge.
- Add a due date if staff need overdue tracking.
- Review the preview.
- Create the charge.
Fields

| Enrollment | The course/session the course fee belongs to. |
| Discount | Optional approved discount. |
| Due date | Date used to identify overdue balances. |
| Preview | Shows subtotal, discount, and final total before saving. |
After Creation
- The charge appears in the Charges tab.
- The account summary updates.
- The charge becomes available for payment allocation.
- If a due date is set, overdue tracking can start after that date.
Common Mistakes
| Mistake | Result |

| Creating the wrong charge type | Balance and reporting become confusing. |
| Missing course enrollment | Course fee cannot be created clearly. |
| Applying the wrong discount | Student balance no longer matches the approved policy. |
| Forgetting due date | Staff may miss overdue follow-up. |
